Facebook lead management

Download a CSV manually or capture every new lead automatically

Facebook and Instagram Instant Form submissions can be downloaded from Meta Leads Center, Business Suite, or Ads Manager. A manual CSV is useful for a one-off export. An automatic connection is better when your team needs every new lead delivered quickly and stored somewhere it can act on it.

This guide covers the current paths, the fields to check in your export, common permission problems, Meta's 90-day download window, and how LeadSavvy Pro sends new Meta leads to Google Sheets, its built-in CRM, and your phone.

Facebook and Instagram lead form submissions flowing into Google Sheets
Method 1: Meta Leads Center

How to download leads from Meta Business Suite

Meta changes labels and menu positions from time to time. Look for Leads Center or Instant Forms under All tools if the wording below differs in your account.

  1. 01

Open Meta Business Suite and select the correct business and Facebook Page.

  2. 02

Open All tools, then choose Leads Center or Instant Forms.

  3. 03

Select the form, Page, and date range that contain the submissions you need.

  4. 04

Choose the download or export action and select new leads or a specific date range.

  5. 05

Download the CSV file and save an untouched backup before editing or importing it.

  6. 06

Open the file in Excel or import it into Google Sheets, then confirm the rows and form fields are complete.

Do Facebook leads expire after 90 days?

Meta makes lead information available for download for 90 days after submission. Export regularly and do not use Meta as your permanent lead database. Meta's interface can change, so confirm the available date range in your account and refer to Meta's lead-download help when you need the latest account-specific instructions.

Method 2: Ads Manager

Download Facebook leads from Ads Manager

This path is useful when you are already reviewing a specific lead campaign or ad. It may exclude organic form submissions, so use Leads Center when you need the Page-level view.

1. Find the lead ad

Open Meta Ads Manager, choose the correct ad account, and open the Ads view for your lead campaign.

2. Open the lead result

Find the result count or download icon for the Instant Form ad. Open it, then choose new leads or a date range when Meta offers those options.

3. Export and verify

Download the CSV, confirm it belongs to the correct form and date range, and compare its row count with the result shown in Ads Manager.

Before importing

What is in a Facebook lead CSV?

The columns depend on your form and how the lead was created. Review the file before mapping it into a spreadsheet or CRM.

Field groupWhat to check
Contact answersName, email, phone, and every custom question included in the Instant Form.
Submission detailsCreated time, form name or ID, and the Page that received the lead.
Campaign detailsCampaign, ad set, and ad identifiers when Meta supplies them. Organic or preview submissions may not contain every paid-ad field.
Consent fieldsKeep any consent or disclaimer answers needed for your follow-up process and privacy obligations.

Keep the raw file, then work from a copy

Store an untouched export in a controlled location. Clean duplicate rows, standardise phone numbers and dates, and map custom questions in a working copy. Limit access to people who need the lead data, and follow the privacy terms shown on your form.

Access and troubleshooting

Why can't I download my Facebook leads?

Wrong business, Page, or ad account: switch to the asset that owns the Instant Form. A similarly named campaign in another account will not contain the same submissions.

Missing lead access: Page access and ad-account access do not always grant the same lead permissions. Ask an administrator to check Page access and any customised Leads Access Manager settings. Meta explains the difference between Facebook access and task access in its Page access guide.

No download action: confirm you are viewing an Instant Form result, try Leads Center instead of the campaign report, and check whether the submission falls outside Meta's download window.

Missing rows or campaign IDs: verify the form and date range. Organic and test submissions can have different attribution fields from paid ad submissions.

Stop repeating the CSV download

A manual export captures a snapshot. LeadSavvy Pro connects to your Facebook and Instagram Instant Forms and processes new submissions automatically as they arrive.

Send each new lead to Google Sheets, manage it in the built-in CRM pipeline, and use the LeadSavvy Pro Phone App to receive new-lead notifications and start following up away from your desk.

Your team keeps an operational copy outside Meta's short download window, avoids repeated exports, and can move from capture to follow-up without importing another spreadsheet.
